Sales Coordinator & Executive Administrator
Synchroworks has an opportunity for the right go-getting, enthusiastic driven individual that is looking to get into sales, while getting involved in many aspects of a small business. Your time will be spent on three main areas: generate sales opportunities, manage our virtual meeting platform and services, and overall executive administration and assistance.
What You’ll Do
SALES
- Generate sales opportunities by:
- Contacting new businesses to book calls and meetings
- Use social media tools to reach out to new contacts
- Strategize on how best to reach out target businesses and verticals
- Participate in the preparation of quotes and proposals
- Follow up with prospects and opportunities
- Work with marketing and digital team for marketing campaigns and creating sales materials
- Close new business
- Propose sales and marketing opportunities to increase our sales and revenues
- Update and manage CRM and sales pipeline
VIRTUAL MEETING AND PLATFORM
- Manage and support our virtual meeting service, primarily for condominium Annual General Meetings (AGMs)
- Administer all necessary virtual meeting preparation including:
- Communicating with customers for meeting notifications
- Setting up Zoom meetings
- Setting up proxy process
- Sending out meeting emails with follow up
- Moderations of virtual meetings (requires after hours work)
- Provide summary of meeting recordings and reports, sent to customers post-meeting
- Ensure accounting is aware of all meetings for billing purposes
EXECUTIVE ADMINISTRATION
- Support and assist the executive team with administration duties
- Order management with vendors Project and implementation coordination, working with Project Managers and implementation team
- Being first point of contact for all incoming inquiries (phone and email)
- Coordinate and attend meetings and strategy sessions, documenting, and following up on important actions and decisions
- Assisting with the preparation of presentation materials
- General office duties, such as ensuring supplies are stocked and ordered as necessary
- Other tasks as assigned by the executive team
What You’ll Need
- 1-2 years relevant employment experience, or completion of business degree (university or college) with part-time work experience
- Entry level sales experience preferred but not required
- Enthusiasm and a go-getter, out-going
- Strong computer skills: MS Office, cloud applications, Internet skills

What You’ll Do
- Determine and define project scope and objectives
- Predict resources needed to reach objectives and manage resources in an effective and efficient manner
- Assist sales team in preparing budget based on scope of work and resource requirements
- Track project costs in order to meet budget
- Develop and manage a detailed project schedule and work plan
- Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress, both internally and with customers
- Manage contracts with vendors and suppliers by assigning tasks and communicating expected deliverables when necessary

Implementation Specialist

What You’ll Do
- Manage a portfolio of small to medium to large scale client implementations. Responsible for implementation projects for new and existing clients
- Conduct discovery/requirements gathering sessions, providing, and maintaining, the resulting design documentation throughout the implementation
- Conduct gap analysis of existing client systems and programs; identifying any key challenges and defining solutions so our clients have a smooth transition to their services
- Provide solution analysis and configuration plans, aligning client specific requirements with project scope, providing exceptional client and value-added service
- Lead executive stakeholder meetings, both internally and client-side
- Consult with clients on how to best manage change within their organization
- Collaborate with the Implementation Team to create detailed project transition documentation once implementations are complete.
- Conduct client administrator and end user training sessions via online webinars, over the phone or in-person
- Participate in the creation, implementation, and maintenance of client-facing presentations and documents
- Maintain an in-depth understanding of the Managed Services. Ensure client delight at go-live and after onboarding is complete
What You’ll Need
- 5-10 years of experience in Hardware and Infrastructure Implementations
- Demonstrable successful track record in project management and successful implementation
- Experience with MS Office (Excel, Word, etc.) Experience in creating workflow diagrams using Visio, Lucid chart, etc.
- Ability to collaborate and build strong relationships with clients, at operational and leadership levels
- Experience leading and working with cross-functional and/or remote teams to achieve common goals and client outcomes

System Administrator
The Systems Administrator, Computer / Networks is responsible for the maintenance of the technological systems of the organization involving the overall health, administration and implementation of infrastructure related items including: LAN/WAN networks, voice, branch, wireless, servers (Windows/Linux), security networks and website updating.
The System Administrator must be aware of and mitigate enterprise risk factors and ensure compliance with applicable regulations, legislation and policies and procedures.
Flexibility to coordinate with other schedules and willingness to work beyond core business hours and be on call, as necessary, to minimize business interruption during planned or unplanned network/system modifications is mandatory to the success in this position.
What You’ll Do

What You’ll Need

- At minimum, possess a Bachelor Degree in Computer Science, Engineering or Technology with a focus on computer networking; higher designations considered an asset
- Experience with databases, networks (LAN, WAN) and patch management
- Knowledge of system security (e.g. intrusion detection systems) and data backup/recovery
- Firewall implementation and administrative experience (Cisco, Fortinet preferred)
- Ability to create scripts in Python, Perl or other language
- Experience working for a managed services organization preferred

- 5+ years experience with network routing, swiching, VLANs in an enterprise environment

IT Support Analyst

We’re looking for an IT Support Analyst to join the Synchroworks team and provide our clients with support and diagnostics for hardware or software, including peripheral equipment (such as printers, scanners, tablets and mobile devices).
What You’ll Do
- In conjunction with other peers, uphold, maintain and adhere to all infrastructure security practices including but not limited to: Servers, Networks LAN/WAN devices, PC’s, Mobile Devices, Printers, Applications, Administration, Remote access methods and infrastructures, physical and logical access
- Log, maintain and monitor all calls in the central help desk software database, and prioritize and assign calls to other team members and ensure call closure with the IS/IT group
- Perform all Helpdesk & Desktop support functions to create, maintain and provide daily, weekly, monthly and yearly reports from within the helpdesk software to be used to assist in problem monitoring, reduction, resolution etc.
- Strive, continuously, to not only improve the IT/IS processes, but also ensure that appropriate respect and attention is given to each member of his/her team, to other functional areas and associates of the company, our tenants, and outside vendors with which they must coordinate to accomplish their mission
- Assist in updating helpdesk application version, and subsequent database including inventory additions and changes as well as user requests
- Assist in the build/image/repair/inventory and rollout of all new and rebuilt PC’s

What You’ll Need
- Post-secondary degree/diploma in Computer related field at a recognized academic institution
- Have a minimum of three to five (3-5) years professional work experience within the Information Technology Systems Helpdesk and Administration field preferably within the Commercial Real Estate Development industry of which three (3) years have been as a Helpdesk & Desktop support analyst
- The ability to perform all duties in a fast-paced environment that supports multiple companies with approximately 450 associates with constantly shifting priorities
- A professional courteous individual that exemplifies excellent oral and written communication skills with the ability to effectively communicate within as well as outside the organization across all levels of the organization including executives
- Effective technical, organizational and problems solving skills as well as planning for not only prioritizing work activities but also anticipating shifts in priorities
- Extensive experience in supporting, technical business computer networks, voice networks, architectures, and infrastructures, devices and applications
- Experience in working with software and systems programming, development and support teams to assist in their IT initiatives
